We have some recommendations to help you get the most out of your InfoBox experience!

Creating content

Create a simple landing page section

Since all the landing sections from published contents will appear in the InfoBox homepage, it is important to create a simple landing section (for example, just a card or text) for each content.

Create a well organized menu section

After the landing section, you might want to have a well-organized section with a series of cards that link to the rest of the sections. This provides a centralized hub for users to access different parts of the content in InfoBox easily.

Create drafts in a collaborative document

If content is created by multiple users, consider drafting the structure and/or texts in a Google Doc or another collaborative environment before uploading to InfoBox. This minimizes conflicts and ensures a smoother editing process.

For more customization, use HTML element

Opt for the 'HTML generated image' element when you desire a more flexible editor that allows you to display an element in a pop-up or in another window. This allows for a more dynamic and personalized user experience.

Use the 'Open file' action for longer texts

Avoid copying long texts directly into InfoBox (e.g. company's HR policies, office set-up instructions, end-of-year summaries). Instead, use the 'Open file' action–available in the card, image, and HTML element types–to upload files such as PDFs or Word documents.

Segment your content

Avoid overloading one section or linked file with too much information. Leverage InfoBox's capabilities to create content which can be easily navigated, by creating multiple cards that link to different pieces of information.

Defining who does what

Before starting, define a clear team structure with roles

Clearly define which individuals will be responsible for content creation, approval, and publication within your organization. Then, assign editor, editor in chief and publisher roles for effective collaboration.

Define viewer groups to distribute content

Define how you will group viewers for the targeted content delivery. The groups will depend on the criteria that the company deems relevant (departments, organizational units, location, etc.).

Use ToogleBox for user segmentation

Utilize ToogleBox's dynamic group functionality to segment your employees. This empowers you to target content effectively to specific audiences.

Create a RACI chart

Larger organizations might consider implementing a Responsibility Assignment Matrix (RACI) chart to clearly outline who is Responsible, Accountable, Consulted, and Informed for each task or content piece.

Other tips

Add "daily checkpoint" content

Incorporate a daily checkpoint: a piece of content that users are encouraged to check regularly (e.g. daily lunch menu). This helps maintain engagement and ensures important updates are not missed.
